Associ8 is installed directly from the HubSpot App Marketplace and automatically adds new workflow actions to your HubSpot workflows.

Installation Instructions

1. Go to the Associ8 listing on the HubSpot App Marketplace and Click the “Install App” button
2. Authorize access and select the correct HubSpot portal
   • You may be prompted to approve permissions—go ahead and click “Connect app”
3. Set up your hapily Admin Portal account (if you haven’t already)
   • The first time you install a hapily app, you’ll be asked to create an admin login.
4. Boom! You’re in.
   • You can now use the Associ8, Label Peeler, and Unassoci8 workflow actions in your workflows.

What is Associ8?

Associ8 is a HubSpot workflow extension that lets you automatically create, label, and remove associations between records—no manual linking or custom code needed.

You can use Associ8 to automatically:

• Link standard and custom objects using shared data (e.g., associate a Deal to a Contact using “Company Domain Name”)
• Apply association labels to better organize relationships
• Remove association labels with Label Peeler
• Remove outdated or incorrect associations with Unassoci8

Overview of Associ8 Actions

Associ8 includes four workflow actions:

1. Associ8 - {Object Type}
2. Associ8 - Custom Objects

1. Associ8 – {Object Type}

Use in: Deal, Contact, Company, or Ticket–based workflows
Purpose: Create associations between a standard object and any standard or custom object using matching property values

How it works:

1. Select the object type you want to associate the enrolled object with
2. Choose a search value from the enrolled object (e.g., a Contact’s email)
3. Match it against a property on the associated object (e.g., a Company’s domain)
4. (Optional) Apply an association label to categorize the relationship

Example use case:
In a Ticket-based workflow, use the Ticket’s “Customer Email” property to find and associate the related Contact. Then, apply a label like “Support Requester” to clarify their role in the relationship.

2. Associ8 – Custom Objects

Use in: Custom object–based workflows
Purpose: Create associations between a custom object and any standard or custom object using matching property values

How it works:

1. Specify the custom object type the workflow is based on at the top of the action
2. Select the object type you want to associate the enrolled object with
3. Choose a search value from the enrolled object (e.g., an email address)
4. Match it to a property on the associated object
5. (Optional) Apply an association label to categorize the relationship

Example use case:
In a “Survey Response” custom object workflow, use the response’s email to find and associate the correct Contact by matching it to the Contact’s email property.

3. Label Peeler

Use in: Any object-based workflow
Purpose: Remove association labels without deleting the association itself

How it works:

1. Select the object(s) involved in the association
2. Choose the label(s) you want to remove
3. Set any necessary conditions to target the correct records
4. The association remains intact—only the label is removed

Example use case:
Remove the “Active Ticket” label from Contacts associated with a Ticket once the ticket is closed, while keeping the association in place.

4. Unassoci8

Use in: Any object-based workflow
Purpose: Fully remove an association between two records

How it works:

1. Define the object type you want to unassociate
2. Set any necessary conditions to target the correct records
3. The association is completely removed from both records

Example use case:
In a Company-based workflow, identify Contacts that are no longer with a company and remove their association to the Company to keep your CRM clean and up to date.

In this guide, we’ll walk through creating your first Associ8-powered workflow in HubSpot. You’ll learn how to match records based on property values and automatically associate them—saving you time and ensuring cleaner data.

Breakdown of the Associ8 Action

Here’s a simplified overview of how each field in the Associ8 action works:

Example:

• A Deal has Company Domain = hornets.com
• Associ8 searches Contact records where Email Domain = hornets.com
• If found, the Deal and matching Contacts are automatically associated

Instructions

Example Use Case: Let’s say you want to automatically associate a Deal with all Contacts that work at a Company. With Associ8, you can automatically associate the Deal to the correct Contacts based on a value such as the Company's Domain.

1. Create a New Workflow
   • In your HubSpot portal, navigate to Automation > Workflows.
   • Click Create workflow in the top right.
   • Choose your object type (e.g., Deal-based Workflow).

   Your workflow’s object type determines what objects it can associate with. For example, a Contact workflow can associate with Deals, Tickets, and Companies (or any other custom associations you have set up).

2. Set Enrollment Criteria
   • The enrollment criteria will vary heavily depending on your use case and requirements.
   • Example: Company Domain (Deal Property) is Known
     • This ensures the workflow only runs for Deals that have a Company Domain value.
3. Add the Associ8 Action
   • Click the + to add an action.
   • Search for and select Associ8 – Deal (or the appropriate action for your workflow object).

   Configure the action:

   • Associated Object Type: Contact
     → Tells Associ8 to look through your Contact records.
   • Associated Object Property: Email Domain (Contact Property)
     → Associ8 will compare values in this Contact property.
   • Search Value: Company Domain (Deal Property)
     → Associ8 will use the Company Domain from the enrolled Deal and search for matching Contacts.
   • (Optional) Association Label:
     → Associ8 will apply the association label to any associations created (e.g., Key Contact).
4. Save and Publish
   • Click Save on the Associ8 action
   • Click Review and Publish to turn your workflow live

   Now, any Deal with a Company Domain will automatically associate with Contacts whose Email Domain matches.

Important Considerations

• Associ8 requires exact matches between the Search Value and the Associated Object Property.
  For example, "hapily.com" will only match other records with the exact value "hapily.com"—not "www.hapily.com" or "Hapily.com".
• Associ8 will associate the enrolled record to all matching records—up to 100 associations in a single call.
  Using a generic value (e.g., a common name like "test") may result in unintended associations. Be as specific as possible to ensure accurate matching.
• If the Search Value is empty, the association will fail. Make sure this field has a value before running the workflow.

Remove object-to-object associations in HubSpot automatically with Unassoci8.

The Unassoci8 workflow action allows you to remove associations between HubSpot objects using association labels, property-based matching, or both. It’s perfect for keeping your CRM clean and relationships up-to-date, all through automation.

Common Use Cases

• Remove Contacts from a Company when labeled “Former Employee”
• Unassociate Tickets from Deals based on mismatched IDs
• Unassociate all Deals from a Contact during record cleanup
• Unassociate Vendors or Partners no longer active

How It Works

Unassoci8 has one required setting and two optional filters. You can use these filters to define what objects will get unassociated from the enrolled object:

Required: Object to Unassociate

Choose which object type you want to unassociate from the enrolled record.

Example: In a Contact-based workflow, select Deal to remove Deal associations from that Contact.

Leaving all optional filters blank will remove all associations of the selected object type.

Optional Filters

1. Unassociation Label Targets

• Remove only associations with a specific association label
• Select one or more association labels to target
• If left blank, the association label is not considered

Example: Only unassociate Deals labeled "Decision Maker" from the enrolled Contact

2. Property Match

• Remove only associations where a property on the associated object matches a value from the enrolled object
• You define:
  • A property on the associated object (e.g., Deal → Company name)
  • A value to match against, which can be:
    • A static value (e.g., "Hapily")
    • A dynamic property from the enrolled object (e.g., Contact → Company name)

You can use property match with or without the association label filter.

Step-by-Step Setup

1. Open or create a HubSpot workflow
   Choose a workflow based on Contact, Deal, Company, Ticket, or Custom Object (e.g. Deal).
2. Setup your Enrollment Criteria
   This will vary depending on your use case and requirements.
3. Add the Unassoci8 action
   Select Unassoci8 from the add workflow action dropdown.
4. Configure the action:
   • Object to Unassociate (Required)
     Choose the object type to remove from the enrolled record (e.g. Tickets).
   • Unassociation Label Targets (Optional)
     Select any association labels you want to use as a filter.
   • Property Match (Optional)
     Fill out the bottom two fields if you want to filter by matching property values:
     • Only objects with this property... (e.g., Ticket → Ticket Status)
     • ...with this value: enter a static value (e.g. "Closed") or a dynamic value (e.g., Deal → Deal Status)

You can use both filters together, or just one. If neither is used, all associations of that type will be removed.

Example Configurations

1. Remove All Deals from a Contact

• Workflow: Contact-based
• Object to Unassociate: Deal
• Leave all other fields blank
  All Deals unassociated from the Contact

2. Remove Deals Labeled "Decision Maker"

• Workflow: Contact-based
• Object to Unassociate: Deal
• Unassociation Label Targets: Decision Maker
  Only Deals labeled "Decision Maker" will be removed

3. Remove Inactive Vendors Based on Property

• Workflow: Company
• Object to Unassociate: Vendor-based (custom object)
• Property Match: Vendor Status = Inactive
  Removes associations to vendors whose status is no longer active

4. Combine Both Filters to Remove Outdated Project Associations

• Workflow: Contact-based
• Object to Unassociate: Project (Custom Object)
• Unassociation Label Targets: Project Manager
• Property Match: Project’s Project Code = Contact’s Assigned Project Code
  Removes associations between Contacts and Projects where the Contact was labeled as “Project Manager” but is no longer assigned to that project

Tips & Notes

• Blank filters = Remove all: If you don’t apply any filters, all associations of that object type will be removed.
• Dynamic values preferred: Use personalization tokens to dynamically match properties.
• Just want to remove the association label but keep the association? Use Label Peeler instead.

Use Case Example

Let’s say you run a waffle company and associate custom Waffle objects to Contacts. You apply labels like "Maple", "Blueberry", or "No Syrup" to indicate a contact's syrup preference.

If a Contact changes their mind and no longer wants syrup, you’ll want to automatically remove any syrup-related association labels.

Instructions

1. Create a workflow based on the object you want to monitor.
   In this case, start a Contact-based workflow.
2. Set your enrollment trigger.
   Use a property like Wants Syrup and enroll Contacts where the value is "No".
3. Add the Label Peeler action by clicking the + under the trigger and selecting Label Peeler from the actions list.
4. Choose the associated object you want to remove labels from.
   In this example, select Waffle.
5. Select the labels to remove.
   Choose any association labels you want stripped away — e.g., Maple, Blueberry.Don’t worry if the enrolled record doesn’t have all the selected labels—Label Peeler will only remove the ones that exist!
6. (Optional) Add a filter to only remove labels from specific associated records.
   Use the property match option if you want to target associations with specific property values:
   • Under “Only objects with this property…”, select something like Waffle Shape.
   • Under “…with this value”, enter a value like Square.

   Now, Label Peeler will only remove the syrup association labels from square waffles

   
7. Click Save and you’re done!

Pro Tip

Label Peeler works even if the associated record has multiple labels—you can peel off one or many at once.

Upgrading Your Plan

Need more associations or access to custom object associations? You can upgrade your Associ8 subscription at any time from the hapily Admin Portal.

1. Login to your hapily Portal
2. Navigate to Payments > Subscriptions in the sidebar
3. Select Change Plan on the Associ8 Subscription Card
4. Select the plan you want to upgrade to and enter your payment information.

Your new plan goes into effect immediately—and your monthly usage limit will reset. You can also downgrade or cancel at any time from the same screen.

What Associ8 Can and Can't Do

Building this app was definitely a labor of love, and unfortunately, there were several limitations of HubSpot that we currently cannot surpass.

Here’s what Associ8 CAN do:

• Associate Standard and Custom Objects (Contacts, Tickets, Deals, Companies) based on a matching property value
• Add association labels
• Remove association labels
• Disassociate objects

Here’s what Associ8 CANNOT do:

• Associate more than 100 objects in a single association attempt (e.g. 1 company to 100 tickets in the same association attempt).

You may find that the Associated Object Type field on Associ8 has no options available or doesn’t have the option you need. You can fix this by enabling object to object associations in your HubSpot!

If you’re trying to associate a specific object type using this app but encounter this issue, it’s likely that object associations haven’t been enabled for it yet. This is a real easy fix! And it can be done within your HubSpot instance.

1. Start by clicking the Settings gear icon in the top right of your portal.
2. In the right sidebar click Objects and select the object type you want to enable associations for.
3. Click the Associations tab.
4. If you don’t have any association types enabled already, click Create new association. Otherwise, click the dropdown box for the Select object associations field and click Enable other associations.
5. Select an object and click Create.
6. You’ll now be able to associate the two objects! The option should appear in your Associ8 action.

Finding server responses within HubSpot workflows:

1. Navigate to your Associ8 workflow in HubSpot.
2. In the top left corner select Details.
3. Select the tab Enrollment History.
4. Locate the enrollment that failed with the event Completed Workflow and select Enrollment Details.
5. In the side bar on the right select Successfully Executed and the server response will appear.

How to locate errors in your hapily Admin Portal:

1. Login to your hapily Portal
2. In the sidebar navigate to Associ8, click it, and click Summary. From this page, you can view your association history and details on each association.
3. In the Match column you can quickly identify failed associations.
4. In the Status column you can view the errors connected to the failed associations.

In this article we will cover the Associ8 settings and log page

To get to the Associ8 Settings/log page sign in to your hapily portal, select Associ8 in the sidebar, and then select Summary.

Once loaded the page should look like this:

Send Error Notifications:

If you wish to receive error notifications when an association has failed you can toggle this switch on. Errors will be emailed to the email address attached to your Admin Account. By default, this option is turned off.

Columns and their meanings:

Date: This is when association was made.
Association: This shows what object was associated to what.
Search Terms: This column refers to the search criteria used in the Associ8 workflow.
Total Associations: This column shows how many associations were made to the second object in the associations column.

EXAMPLE: In the second association listed above, two deals were associated to the contact because two deals matched the search term.

Match: This displays either a Failed or Success status depending on if an association was made or not.

Status: This column displays the error message for a failed association.

Status Errors:

• "Error: Could not find..." means that there is no object in your HubSpot matching the search criteria.
• "Exceeds Capacity" means that you have reached your associate limit for the month. You will either need to wait until the new month starts or upgrade in order to continue making associations.
• "Not_authorized" means that either you haven't paid or your trial period has ended.
• "SQS_Failed" means that there is an unknown error. If you receive this error shoot us an email at care@hapily.com with a screenshot so we can get you back to associating!

Side Note: HubSpot's Workflow History may show a successful transmission even though we are displaying an error. This is expected behavior.

Well, associating objects isn't for everyone...

1. Visit your Settings menu by clicking the gear icon in the upper right of your HubSpot instance.
2. In the left-hand panel, go to Integrations > Connected Apps.
3. Find Associ8 and click Actions > Uninstall.
4. Follow the instructions and there you have it! Please send an email to care@hapily.com and we'll make sure your subscription is canceled.

1. Login to your hapily Portal
2. Navigate to Payments > Subscriptions in the sidebar

If the app associates more records than you intended, don’t worry! The undo-association feature can rewind the clock and remove them.

Undoing associations with Associ8 is as easy as checking off a list! A few quick things to note before we get started are:

• This is an Associ8 - Enterprise feature.
• This feature only works on associations made using Associ8. Associations made any other way will not be able to be undone through this feature.

Let’s get started!

1. Start by logging into your hapily portal here.
2. Click Associ8 > Summary in the left sidebar. This will pull up a list of the most recent associations made using the app.
3. Click the checkbox next to each association you would like to undo. Then click Unassociate Selected near the top of the association list.
4. The associations will then be scheduled to be unassociated. All that’s left for you to do is kick back, relax, and let Associ8 work its magic!

If your Associ8 workflow returns an error or an association fails, you'll want to know what went wrong right? Here's how to find and diagnose these issues!

“The best laid plans of mice and men often go awry.” Which basically means you might get one of those darn error messages in your Associ8 workflow.

Which aren’t particularly helpful unless you know where to find them and what they mean. Let’s go over how to find and diagnose the various error messages you might see if your Associ8 workflow goes kerplunk.

How to find Associ8 workflow errors

This part’s probably important isn’t it? If you’re not HubSpot savvy you may not even know where to find the errors in the first place! We can fix that. You can find them by:

1. Opening your workflow
2. Clicking Details in the upper left corner of the workflow.
3. Clicking the Action logs tab.
4. Hovering over the Associ8 workflow action and clicking Event details.
5. On the Event details sidebar, scroll down and look at the long string of numbers and letters under Server response.

What Associ8’s error messages mean

Now that you know where to look it’s time to decipher the errors themselves:

1. Search Value Cannot Be Empty

The Search Value is a property on the enrolled record that Associ8 can use to find other records to associate it to. But if the enrolled record’s Search Value property is blank upon reaching the Associ8 action, the app can’t match it to any records and returns this error.

Let’s say you enroll a Contact record through Associ8 and use its Customer ID property as the Search Value. But this specific contact’s Customer ID property had nothing entered into it when it reached Associ8. This would cause the error message to appear.

2. Exceeds Capacity

Depending on what subscription plan you’re on, you’re limited to only a certain amount of successful associations with Associ8 per month. If you’ve reached your limit but enroll an object through the Associ8 action anyway, you’ll receive this workflow message.

3. No Access, Invalid Signature, or Error

I'll level with you here, it is very unlikely that you'll receive any of these messages. If you do though, the solution is same for all of them:

Does your university client use lots of different domains? Using Flexible Associations and Associ8, you can easily associate them automatically and label them as well!

In this use-case, we're going to make sure all of the Faculty members of Northern Illinois University (NIU) get associated to the company NIU, regardless of their email domain.

1. Start by creating a Workflow from scratch, based upon the Contact object. Don't forget to name it!
2. Since we know that the "School" property on the Contact is freeform, we'll make sure to include several known permutations of the school. In the Contact Enrollment Trigger, we'll select the School property and "contains any of" NIU, Northern Illinois University, or Northern IU.
3. Click the "+" to add a new Action, then scroll down and select Associ8.
4. Now we're going to create the association. In our HubSpot, the company name for our school is NIU, so fill in the following values:
   • Starting Object Type: Contact
   • Associated Object Type: Company
   • Associated Object Property: Company Name
   • Search Value: NIU
   • Associated Label: Faculty
   
5. Click Review and Submit! You should now see that any time a contact is entered into HubSpot that has a "School" value from #2, they will automatically get associated to our Company NIU!

When a big client calls, sometimes you need to bring in external support. This workflow automatically associates a specific Contact to a ticket.

1. Let's say when our clients are having an outage, we want to associate the local IT team lead Captain Save'em to the ticket. We can easily identify these tickets by their Ticket Description field containing the word "outage". Start by building a workflow based on tickets.
2. For the enrollment trigger, choose the property Ticket Description and Contains Any Of "outage". Hit Apply Filter and Save.
3. Click + and search for Associ8 in the Action drawer.
4. Fill in the following field values:
   • Associated Object Type: Contact
   • Associated Object Property: First Name
   • Search Value: Captain
   
5. Run that workflow! Now whenever a Ticket has the word "Outage" in the description, Captain Save'em will be automatically associated to it.

You can now create custom object associations using Associ8! Let's go over checking your workflow to make sure it's setup correctly.

You need to have an Associ8 Pro or Enterprise-level subscription to use Associ8 custom object workflows. If you wish to upgrade check How To Upgrade Your Associ8 Subscription.

To create Custom Object workflows using Associ8, you have two options based on your specific use case. The primary difference between the two methods is the Associ8 action you will utilize. Follow the instructions for the type of workflow you are creating to determine which method to use.

1. Standard Object - Based Workflows (Uses the Associ8 - Ticket action)
2. Custom Object - Based Workflows (Uses the Associ8 - Custom Object action)

Standard Object - Based Workflows:

In this example we will be associating Tickets to Car Custom Objects.

1. In your HubSpot navigate to Workflows and click Create Workflow
2. Select the type of workflow you want. For this example we will start a Custom Object-Based workflow then hit Next.
3. Setup your workflow enrollment trigger. This can be as simple or complex as you want.
4. Next hit the + under the enrollment trigger to add a new action. Then search for Associ8 - Ticket and select that action.
5. Choose the object you want to associate the ticket with. For this example we will be choosing Car.
6. Select the Associated Object Property field and choose the Property on the car you want to use to make the association.
7. In the next field, Search value, you will select the Contact property you want to use to make the association.
8. OPTIONAL: add an association label.
9. Hit Save and review your workflow. If everything looks correct you are ready to turn on your workflow!We recommend testing your workflow before you turn on your workflow.

Custom Object-Based Workflows:

1. In your HubSpot navigate to Workflows and click Create Workflow
2. Select the type of workflow you want. For this example, we will start a Custom Object-Based workflow then hit Next.
3. Set up your workflow enrollment trigger. This can be as simple or complex as you want.
4. Next hit the + under the enrollment trigger to add a new action. Then search for Associ8 - Custom Objects and select that action.

   In the Associ8 action set the fields as follows:

   • Custom Object Type: Your Custom Object (Partner).
   • Supported Associated Object Type: The object you want to associate the custom object to (Contact).
   • Associated Object Property: The contact property you want to use to make the association.
   • Search Value: The Partner property you want to use to make the association.
   • Set your association label (OPTIONAL).
   
5. Hit Save on the Associ8 action then review your workflow. If everything looks correct you are ready to turn on your workflow.

Don't be a daredevil, give your workflow a test drive before hitting the on switch. Trust us, it's worth it!
